About the Role
The People Operations and Workplace Services Lead manages day to day people operations workplace services and office administration at Tapsi Box This hands on leadership role focuses on operational efficiency team leadership and scalable processes working closely with HR Finance IT Legal Procurement and business leaders to improve service delivery and employee experience
Responsibilities
Manage office assets equipment and inventory including allocation transfers returns maintenance stock levels and periodic inventory checks
Lead internal workplace services employees and outsourced service teams setting clear responsibilities and service standards monitoring performance and coaching team members
Oversee workplace services facilities maintenance office supplies and employee support requests to maintain a safe functional and reliable workplace
Manage workplace and facilities budgets track expenses against approved budgets forecast operational needs and report financial risks and cost saving opportunities to HR and Finance
Coordinate workplace related events meetings and office communications to support an organized and positive employee experience
Align purchasing needs with central Procurement while vendor sourcing commercial terms PO issuance and contracting stay fully within Procurement s domain
Identify recurring operational issues resolve root causes and improve service quality efficiency and employee satisfaction
Identify repetitive and manual workplace processes and implement practical automation or self service solutions in coordination with IT and relevant teams to improve speed accuracy visibility and employee experience
Requirements
At least 5 years of relevant experience in workplace services facilities management office operations or a related field
At least 1 2 years of experience leading employees or managing outsourced service teams
Experience managing office assets inventory workplace services facilities budgets and purchasing coordination
Experience monitoring operational expenses maintaining accurate records and preparing operational or budget reports
Strong planning prioritization team coordination and problem solving skills
Proficiency in Excel or Google Sheets for tracking reporting and budget monitoring
Strong attention to detail confidentiality and the ability to manage competing priorities across multiple stakeholders
Nice to Have
Experience in a fast growing technology company or a similarly dynamic business environment
Familiarity with workplace management tools inventory systems or employee service management platforms
Experience developing operational procedures service standards and performance metrics
Experience optimizing workplace costs improving workplace services or managing office setup and expansion projects
Experience using workflow automation no code tools or workplace management platforms to streamline operational processes
